Transforming accounts payable with intelligent automation

Before automation, the accounts payable (AP) team processed 150–200 purchase order and non-purchase order (PO and non-PO) invoices per day through a largely paper-based, manual workflow. Invoices were downloaded and printed from emails, data was entered by hand, approvals were routed manually, and invoice documents were filed away. This resulted in a significantly higher risk of errors, delayed payments, missed early-payment discounts, and growing pressure to add headcount just to keep up.

Challenges in the legacy AP process include:

  • Manual data entry and paper handling
  • High invoice volumes increased error risk
  • Complex handling of non-PO invoices
  • Delays caused by manual routing and approvals
  • Missed early-payment discounts and late payments

With the implementation of Infor Velocity Suite’s prebuilt Value+ Invoice Processing Automation in under 90 days, that process changed fundamentally. Based on the information that is read from the invoice, Infor selects the business partner (BP) and registers the invoice for that BP in a Received Invoices session. The PDF document is automatically linked to the received invoice document and readily available in Infor Document Management (IDM). Validations are performed to ensure that the transaction is accurate.

Using generative AI (GenAI)-powered document processing and robotic process automation (RPA), invoice documents received through email are now automatically captured, validated, registered, and routed. PDF invoices are electronically stored in IDM and linked to the registered invoice for ease of access. Full visibility into the invoice processing workflow and exceptions is then reported for subsequent resolution.

“Before automation, everything was manual and paper-based. Now our partners receive timely payments, our employees no longer do tedious tasks, and our customers receive better service,” says Kling.
